Minutes

Persons Present – Amanda Langley, President, Deb Bears, Vice President; Connie Lindmier, Secretary; Bunny Sings Wolf Engberg; Caitlin Desser.

Call to order: President Amanda Langley called the meeting to order at 5:12 p.m.

Agenda – Deb made the motion to accept the agenda as provided. Bunny seconded the motion. Motion carried

Minutes – Bunny made the motion to accept the minutes as provided. Deb seconded the motion. Motion carried.

Elections – review of election January 8, 2024

Chairperson: Amanda Langley

Vice President: Deb Bears

Secretary: Connie Lindmier

Treasurer: Bunny Sings Wolf Engberg. Bunny stated she is willing to take over as Treasurer. Connie made the motion to elect Bunny as Treasurer. Caitlin seconded the motion. Motion carried.

Connie made the motion to have all 4 officers (see above names) on banking accounts, and to require 2 (two) signatures on the checking and all financial accounts. Motion carried.

Financials – Treasurer - Money in bank account. Accounts for dedicated sub-account – toy drive, events, advertising

Website – Caitlin cannot contact the Crook County Promotion Board. Amanda and the other board members will get the passwords and information of Facebook, Instagram.

Waves Web Design does the website. Promotion board does just the marketing. (grant had 20 hours (15-minute increments).

We need to get training after the update.

Bunny made the motion to stay with Waves Web Design. Connie seconded the motion. Motion carried. Waves is interested in joining the chamber.

One person should be the contact. Caitlin is ok with doing social media, and being the contact.

Caitlin recommended we make up new brochures.

Discussion followed – paid ads did help pay for parts of the previous brochure. Jen Womack talked to the Chamber previously about the brochure.

Sagebrush marketing did the marketing for the brochure.

Caitlin asked how the brochures were distributed. We need to make sure it gets distributed out of town as well.

Bunny made the motion to invite Jen Womack to come to a meeting and discuss the brochures. Deb seconded the motion.

Discussion – page in center kids could color or answer questions – for example sight-seeing bingo, stamp, or hole punch for locating a place/item, and other ideas.

Event ideas

Easter Egg hunt – Korina at the museum works with this – this is her “baby.” Caitlin made the motion to have an Easter event. Deb seconded the motion. Motion carried.

Caitlin will stop by and talk to Korina.

Mixer – shortly after Easter. May Day mixer?

Maybe at 77 Steakhouse. Caitlin will discuss with Brandy at 77.

Rodeo Parade – June 8th and 9th. Usually, we have a float. There is no theme yet. Bill Motley, Lily work with it. We will find out the theme.

4th of July – Thursday. May do something on the weekend. Sarah Taylor at Devils Tower View – see if we can coordinate with Sarah.

August – Ham & Jam – Chamber does not usually do anything at it.

Discussion: Souvenirs? –

Trifolds are a good option – to put at restaurants and other locations.

Hulett collectible coins.

Deb will check Spearfish and Gillette to see what they do.

Chamber packets – How do we get businesses to join.

Events.

Businesses ask – what do I get for a membership. Website, Social Media, Trifolds, Mixers, Brochures.

We need to define corporate - $500.00 – how many employees.

Caitlin will make up / update a form – to go to a spreadsheet – to track membership.

We need to meet sometime to brainstorm and discuss the form.

Have a Drop Box online – for membership and payment.

Connie asked for updated contact information, so she can finish up the Secretary of State document – due March – Get info from Treasurer – and updated Directors/Officers list.
